Committee Minutes  T-840,BSA      Feb 2, 2002

Mr. Dillon called the meeting to order at 8:00 a.m., Saturday, 02 February 2002.

Web Site

Mr. Warrick reported he added several new features to the Troop 840 web page.  All merit badges attainable and their requirements.  All of the BSA ranks for scouting and each rank’s requirements were added.  Added a troop timeline with pictures where available.  Added Chris Wilt as Scoutmaster.  A request, when there are changes, please contact Mr. Warrick so he can update the site and keep it current and correct.  E-Mail Mr. Warrick at GWarrick.@airmail.net with changes.

Outdoor Activities

Mrs. Schreibfeder’s report:  All set for Group Dynamix.  Meet at 7:00 at SLBC and will leave by 7:30 p.m.  The Scouts will return to the UPS parking lot on Sunday morning at 8:30 a.m.  Have 40 Scouts and 5 adults going on February 9th.  The place is reserved entirely for the Troop.  Scouts attending this event can bring sleeping bag, pillow, and drinks.  Each scout will need to bring $4.00 cash to buy the pizza for their dinner.  Tour leader is Mr. Gary Smith.  Mr. Hohnholt is tour leader number two.  Class A uniform is required for travel to and from the Group Dynamix.  Class B shirt is required within the facility.  Insurance requirements were given for the reason for the change in attire requirements.

March, Fossil Rim is open.  Troop 840 will visit Fossil Rim near Glen Rose on Saturday, March 2nd, from 9:00 a.m. to 3:30 p.m. during the scheduled March campout weekend.   If anyone has been out of the country within the last five (5) days before going to Fossil Rim, they cannot go into the State Park.  The cost of admission to the park will be $6.00 per Scout.  Broken O on the Brazos was selected as the camping site for this weekend (March 1st through the 3rd).  The scouts can fish on the river.  The campsite is 3-1/2 miles outside of Glen Rose.  The cost for a campsite is $10.00 per tent.  Because the State Park was not available to the scouts, the Troop will pay for the camping fees for this camp out only.  The scouts will still be required to pay for their food and the $6.00 for Fossil Rim if they attend the camp out.  We will be leaving the SLBP on Friday evening, March 1st, to attend this camp out.

Summer Camp is scheduled for Camp Pioneer, in Arkansas.  There is a $40 deposit required for scouts to go to summer camp ($165.00 total for the week) that must be paid by March 19th (along with re-charter money).  There is space for 60 campers for Camp Pioneer.  Look for this on your re-charter information.

After the meeting had officially been adjourned, Mr. Dillon informed the Committee members that were still assembled at the church that Debbie Warrick has officially retired from her position of “Outdoor Activities Chairperson”.  We all should give Debbie a warm, “Thank you!” when you see her for her years of service to our Scouts and Troop 840!  THANK YOU, DEBBIE!

Treasurer’s Report

Mr. Piper went over the Troop financial condition.  Treasurer’s report is attached to these minutes.  The Troop operating budget shows that we’re ahead of plan by about $600 because of delayed expenditures.  That shouldn’t indicate a permanent $600 “gain”.  In November 2002 we have to budget for storage unit rental.  The budget was approved by the Committee.  Great job, Mr. Piper!

Equipment Report

Mr. Kim said we have eleven (11) good tents and three (3) tents with no poles.  Some tents may not have been returned by the Scouts that took them to clean them out in December.  Parents and Scouts should look for tents and drop cloths that were taken home in December (or earlier) for cleaning and drying.  The Scoutmaster and Assistant Scoutmasters will take this issue off-line to determine how to address this issue.  Mr. Kim’s mother has fixed all of the zipper problems with the tents.  There was a proposal to buy four (4) new tents.  The money was approved by the Committee to buy the tents.  The Scoutmasters will determine if they need to be purchased after the Committee meeting.  There is a proposal to number the tents and to assign them permanently to a Patrol and checking them in and out to Patrol members for camping and cleaning, when needed. 

The tires on the trailers are aging and cracking.  They will be replaced.  Mr. Langworthy will assist in the replacement of the tires.

The Troop tracking and management software upgrade will cost $39.00 and was approved by the Committee.

Scout Sunday

The Troop will contribute $500.00 to the SLBC on Scout Sunday.

Membership

Mrs. Lacey said re-charter will begin at the end of this month.  A reminder will be included.  A sheet will be distributed asking for updates.  All money must be back by March 19th.  Scout retention was much better last year than in the past.

SPL Report

Things have been going along pretty well.  Nominations for new Troop officials will be held this Tuesday, 5th of February.  Elections for offices will be held the following Tuesday, 12th of February.  Advancements have been going well and the Scouts appear to be acting more responsibly.

High Adventure 2002

Mr. Hohnholt said our Safe Swim and Safety Afloat permits will expire in May.  We need to have them re-done.  Mr. Hohnholt will check with J. Barnett who coordinated this last time.  We also need a CPR certified adult to go on the sailing trip.  T-Shirts will need to be made up for the Scouts that will be going.  They still have two (2) slots available.

Scouting For Food

Will be held today at 9:00 a.m. (hand out bags) and next Saturday to pick up bags.

Advancement

Mrs. Kressmann said the packet for Mark Senior returned this past week.  We need to purchase six (6) sets of Eagle packets (frames to hold the Eagle certificates).  Committee agreed to purchase these.  Matt Bohn will ask if we can get a laptop contributed to the Troop for use by Advancements by his former employer.  Initial inquiries sound promising!  Court of Honor went very well.  Thank you, Mrs. Kressmann!

Order of the Arrow

Mr. Davis said the election was held but no one has been showing up at the OA meetings this year.

Venture

Gary Warrick is managing this until we have Mr. Hohnholt available to take over in May.  Must be 14 years of age and a Life Scout to participate.
