Committee Meeting Minutes

Saturday, March 23, 2002 Meeting

  • An announcement was made that Richard Shyne’s Eagle project will be going on today (3/23/02) and next Saturday, (3/30/02), from 9:00 AM until 5:00 PM.  It is at the Coppell Community Garden.  Please bring a shovel and work gloves and please come out and help.
  • Mr. Shyne has agreed to handle the Chili Dinner in the fall, 2002.  Thank you, Mr. Shyne!
  • The Buck Auction will be held on May 13.  The Church has been reserved.  Viewing of auction items will be from 6-7 PM, with the auction starting at 7:00 PM.  Shopping for auction items will be on a Saturday in late April (exact date to be announced).  Dr. Lacy was still taking names for any “wanna be” shoppers.  Shoppers will meet at Dr. Lacy’s house at 10:00 AM and all shopping should be done by 4:00.  It is a fun day and ALL volunteers are welcome.  Please contact Dr. Lacy.

 

Scout Master’s Report
 

  • After the monthly committee meeting, the Scout Master will meet with the Assistant Scout Masters. 
  • After the monthly ASM meeting, the Scout Master will meet with the PLC’s for planning purposes.
  • Decisions Made:

Assistant Scout Master will mentor a patrol and at least one leadership position.  The ASM will sit in on the patrol meetings as a mentor to help the patrol stay on task and ensure proper respect and behavior, but not as leader.  The ASM will provide position specific training to the individual leadership positions.  The other role for the ASM’s is to keep track of the advancement of the boys in their patrol.  We will periodically review each boy’s progress and see what we can do to help him advance to the next level.

We agreed that we need more activities each week for the older boys.  It was decided that we could support the program better by offering merit badges, especially the required ones, in conjunction with our monthly themes and outings.  We want to get parents to teach the merit badges.  We will also be focusing on completing all of our 6th graders to First Class, preferably before the next Court of Honor, but no later than Summer Camp.  In order to accomplish that, we will need one more swimming skill meeting.  We also need to complete the water safety requirements prior to canoeing.

Senior Patrol Leader’s Report
 

  • Meeting last Tuesday was really good with the participation of Judge Molly Francis.  She met with multiple groups of boys and reviewed what being a judge really all is about.  This enabled some of the boys to complete a requirement for the Citizen in the Community merit badge.
  • ACTION ITEMBilly Dillon will write a thank you note to Judge Molly Francis.
  • It was agreed that having people come in and share their work or hobby experience in future meetings is a very good idea.  If anyone knows someone with this experience, please let us know so we can schedule him or her.
  • Billy Dillon made a comment that there was a little trouble with the leadership on the last campout as there were no senior patrol leaders!  We have learned from our mistake and continue to improve our process.

 

Outdoor Activities’ Report
 

  • Camporee will be held April 5-7th in Ennis, TX.  So far, there are 17 scouts signed up and 5 adults.  There is no running water and no open fires allowed at the park.  Map to park is currently on the web site but will be updated shortly.  Campers need to report to Sandy Lake Road Baptist Church parking lot at 5 PM on April 5th to prepare for departure to the Camporee.  Mrs. Schreibfeder will find out how many CMS North 7th graders are involved in returning late that day from a school field trip.  Campers will return at 12:30 on the 7th.
  • A motion was made that we charge the boys who were signed up for Oak Leaf (no longer being done on April 6-7) only $7.00 versus the late sign up fee of $10.00.  It was passed.  If scout leadership does not assume the additional cost, the troop will make up the additional $3.00 difference per scout.
  • May 17th-19th will be a canoeing trip.  The place is still to be determined.  Mrs. Schreibfeder will check out Fort Parker.  Mr. Kim will arrange for the 12 canoes.
  • There will be a one-day water sport day on June 8th on a local lake.  Currently we are searching for boats to help accommodate a fun day.
  • Mrs. Kressmann will print out a list of parents who have a hitch on their vehicle.  This data was collected sometime in the past.  This should make it easier for Mr. Rabbit to know ahead of time if he has enough adults going who can pull a trailer.

 

Equipment Report

·        The troop potentially needs two additional chuck boxes but there is an issue how to fit all the chuck boxes in the two trailers when a large number of scouts attend an outing.

·        ACTION ITEM:  Mr. Applegate has agreed to build one chuck box now, which will go the new scout patrol.

·        Mr. Kim noted that on the agenda for the parent’s meeting, it shows our storage unit as number 1621.  The correct number is 1261. 

·        At this time, the troop has plenty of tents.  A few still need repairs but these issues are being addressed.

·        It was decided that it would be a good idea if Mr. Rabbit had a list of all vehicles that have a trailer hitch, which could be used to pull the trailers.  Ms. Kressman said she had some information on that and will provide that to Mr. Rabbit but a more comprehensive list should be developed.

Treasurer’s Report

·        Mr. Langworthy has agreed to “try to learn” the responsibilities of the treasurer to assume his role when Mr. Piper steps down.  A big thank you to Mr. Langworthy! 

·        Ms. Kressman believes she has the raw data sheets from popcorn sales and will give these to Mr. Piper.  This should help determine the proper dispersal of popcorn funds to be used for camp outings for individual scouts.

·        Re-charter money is not included in this month’s treasurer’s report but will be in next months.

·        The Scout Bucks account will go down after next month’s shopping spree for the auction.

·        The troop has not submitted information to the IRS about our tax-exempt status but a package is currently being worked on to rectify this situation.

Membership Report
 

  • Mrs. Lacey still needs information regarding re-charter from about seven families.
  • This past year we “lost” 21 scouts due to “aging out”, relocation, transfer to another troop, lack of interest, and too many other obligations.
  • Mrs. Lacey has had several constructive conversations with boys who are not re-chartering with the troop.  Most of the reasons given were due to too many other obligations.  However, a few mentioned that while they liked the idea of a “boy lead” troop, they sometimes found it too confusing and did not think the Tuesday night meetings were productive.  The Scout Master and ASM’s are addressing this issue.
  • Last year we had 15 sixth graders join the troop.  We “lost” five of them with one moving away, one transferred to another troop and three quit.  This was the best we have ever done.
  • The troop will re-charter with approximately 55 boys, which is normal for the last three years.
  • This year’s 5th graders have about 100 boys in cub scouts, with only about 50 crossing over.  Mrs. Lacey thinks we will get 10 boys to join Troop 840 but no more than 15-20 boys.  The majority of the boys are going to the troop at the First United Methodist Church.
  • Our retention rate is better than other troops.
  • We also added one new scout per month throughout the year from all grades, sixth, seventh and eighth.
  • The troop’s health is very good at this time but it is a good time to re-evaluate where we are and what we are doing.
  • Mr. Wilt reminded us that there is a Recruiter Patch the boys can earn by bringing in fellow scouts.  We should promote this and encourage the boys to earn the patch.
     

Advancement’s Report
 

  • Randy Webb, the new pastor for Sandy Lake Baptist Church will be at the meeting on Tuesday night.  He would prefer to be called “Brother Randy”  He is pleased that the troop is a part of his church.
  • The new laptop is working well and Mrs. Kressman has retired the old one to a distant closet!
  • The conversion to the new software is going well.  The new software will generate many good reports.  It also has a financial section and popcorn section, which should be very helpful.  The software is on CD and disk.  It is licensed to the troop so any member of the troop is entitled to use it.
  • The troop will have a sign up session for merit badges they can earn at summer camp, prior to summer.  This was done last year and seemed to work very well.
  • ACTION ITEM: Mr. Wilt would like to have all the sixth graders earn their First Class rank before summer camp.  Everyone needs to be aware of where they are with their requirements and help them to earn this rank.

 

High Adventure Report
 

  • There will be a sailing trip on April 28th for all participating in the High Adventure. 
  • ACTION ITEM:  The required swim test required for the canoe trip, rank and high adventure needs to be scheduled.  More than one date will probably be necessary due to the high number of scouts that will need to take the test.

 

Miscellaneous Items
 

  • Mr. Piper and Mrs. Lacey will go on April 19th to try to get Philmont treks for the troop and for the Venture Patrol.  It begins at 8:30 and should only last one hour.
  • Special Announcement! Jason Piper received his letter from Dick Army confirming that he will be part of the class of 2006 at the Air Force Academy.  Congratulations Jason!
  • Our troop’s website continues to get accolades for how wonderful it is.  It is also being “shamelessly stolen” and adapted by other troops!  Thank you to Mr. Warrick.
  • On April 13, 2002, there will be a Safety Afloat and Safe Swim course offered.  It will be held at Loos Pool, 3900 Spring Valley in Dallas from 9:30 Am until 3:00 PM.  The cost is $5.00.
  • On May 18, 2002 and June 1, 2002, there will be a First Aid and CPR course offered by the American Red Cross.  It will be held at 4800 Harry Hines Blvd from 8:00 AM until 6:00 PM.  The cost is $20.00.
